3.04 Style Guide for Communicating with the Public

The College of Agricultural and Environmental Sciences is part of the University of Georgia. UGA Cooperative Extension, research and education programs and centers, UGA Extension county offices and respective titles, faculty, programs and volunteers are part of the service administered by UGA. As a result, this style guide formalizes how we refer to our programs, offices, employees and volunteers in public, on the Web, in the media and during communication.

How to Use This Style Guide:

  • When writing an article or editing/proofreading a media article
  • When talking to a reporter (ask that they refer to us appropriately)
  • When answering the phone
  • When recording your voicemail greeting
  • When leaving a voicemail for someone outside the organization
  • Introducing yourself to a class or seminar
  • On a PowerPoint presentation
  • When registering for a conference or seminar
  • Under the county’s blue pages in the phone book

Guidelines

Use the following to refer to our programs, offices, employees and volunteers in public, on the Web, in the media and during communication.

1) University of Georgia

Identify the university as the University of Georgia initially before using the acronym, UGA.

2) Cooperative Extension:

"University of Georgia Cooperative Extension"

  • "UGA Cooperative Extension" is acceptable if UGA is identified as University of Georgia previously.
  • "UGA Extension", "Cooperative Extension" or "Extension" are acceptable if University of Georgia Cooperative Extension or UGA Cooperative Extension is identified previously.

3) County Office:

"University of Georgia Cooperative Extension Smith County"

  • University of Georgia may be replaced with UGA as referenced in #1.

4) Research and Education Center:

"University of Georgia XYZ Research & Education Center"

  • "UGA XYZ Research & Education Center" is acceptable if University of Georgia is identified previously. Replace XYZ with the appropriate name for the Research & Education Center

5) Employee:

"Jane Public, an abc with the University of Georgia College of Agricultural and Environmental Sciences"

"Jane Public, a(n) abc with University of Georgia Cooperative Extension…"

"Jane Public, a(n) abc with University of Georgia Cooperative Extension XYZ county…"

"Jane Public, a University of Georgia Cooperative Extension abc…"

"Jane Public, a University of Georgia Extension abc in XYZ county…"

"University of Georgia Extension ABC, Jane Public,…"

"University of Georgia Extension XYZ County ABC, Jane Public,…"

  • Replace XYZ with the County name and ABC with the person’s title, such as horticulturalist, researcher, specialist, assistant professor, etc. Example: John Smith, a horticulture specialist with University of Georgia Cooperative Extension.
  • University of Georgia may be replaced with UGA as referenced in #1.

6) Program:

"University of Georgia College of Agricultural and Environmental Sciences abc program…"

"University of Georgia Cooperative Extension abc program…"

"University of Georgia Extension XYZ county abc program…"

"University of Georgia Extension abc program in XYZ county…"

  • Replace XYZ with the County name and ABC with the program name. Capitalize proper names like Master Gardener. Do not capitalize generic program names or department names.
  • University of Georgia may be replaced with UGA as referenced in #1.

7) Departments and majors:

"University of Georgia College of Agricultural and Environmental Sciences entomology department…"

"UGA College of Agricultural and Environmental Sciences entomology major"

  • Department names nor majors are capitalized.

8) Volunteer:

"John Public, an ABC volunteer with University of Georgia College of Agricultural and Environmental Sciences"

"John Public, an ABC volunteer with University of Georgia Cooperative Extension…"

"John Public, an ABC volunteer with University of Georgia Cooperative Extension XYZ county…"

"John Public, an University of Georgia Cooperative Extension ABC volunteer…"

"John Public, an University of Georgia Cooperative Extension ABC volunteer with XYZ county…"

"John Public, an University of Georgia Cooperative Extension ABC volunteer in XYZ county…"

"University of Georgia Cooperative Extension ABC volunteer, John Public…"

"University of Georgia Cooperative Extension XYZ county ABC volunteer, John Public…"

  • Replace XYZ with the County name and ABC with the program name.
  • University of Georgia may be replaced with UGA as referenced in #1.
